Pictured above is of the Visit Recording software that is installed on the computer near your reception area that is connected to the barcode scanner that clients swipe their client card in front of. As you can see above, the software divides clients into two different categories: those it knows displayed on the left with the clients name, and those it does not know in red on the right.

The box on the bottom is where important notes about a client are displayed when a client swipes their card.

In addition to the two standard alerts, we can setup as many customized alerts as you like. If you want to know if it is a client's first visit that month, the system can alert you. If you want to know if the client has not visited in over 3 months, or six months or 138 days, the system can alert you. If you want to know if the client is scheduled for a workshop or a one on one appointment that day, the system can tell you. Basically, if what you want to be alerted to can be answered with a YES/NO or a number, the system can be made to generate an alert.
Would it not be nice that when a client scanned their card, you were given some useful information about that client?

Sure it would. That is why our system is set up to do more than just record visits. In addition to recording the date, time, and location of the visit, the system checks the client record for two standard alerts: An Important Note and a Banned Client.

The important note is used to communicate information about a client that is useful for staff to know. Perhaps the client is hard of hearing or needs extra help with computers. In each client record you can insert an important note and then the next time that client swipes their card, that information is displayed in the visit recording software pictured to the right. The second standard alert available is the Banned alert. If a client is no longer welcome in your business, you can select the banned status checkbox on the client record. The next time the client scans their card at any location you have using the Client Manager, an audio alert will sound and a message is displayed.
